Clear expectations, straightforward service.
These policies explain how we quote, schedule, complete and bill your project. Your accepted estimate identifies the work and agreed price. Please ask us about anything unclear before accepting.
1. Your estimate and approval
Estimates describe the identified stumps, project location, included work and total price. Published size prices are a guide; your written estimate controls your project price. No work or appointment is authorized by submitting a quote request alone. By accepting an estimate, you authorize the described work and confirm you own the property or have permission to authorize it. Any applicable tax or fee will be disclosed as part of the agreed pricing before acceptance. Estimates do not guarantee an appointment date; we email a separate scheduling confirmation.
2. Grinding depth, roots and cleanup
Our standard target is approximately six inches below the existing soil line where it is safe to grind, unless your estimate states a different depth. Grinding turns wood into chips; it is not complete excavation of the stump or every root. Only the stumps and any additional root work identified in your estimate are included. Chips and grindings remain on site unless removal is expressly included. Hauling, soil replacement, grading, seeding, sod and landscape restoration are included only when listed. Remaining roots may decay, settle or regrow over time; grinding does not guarantee against these natural conditions. If an obstruction prevents the agreed work, we will stop and discuss the options rather than change the scope without your approval.
3. Information, access and site preparation
Please provide accurate stump counts, dimensions, photos and access information. Tell us about gates, slopes, soft ground, retaining walls and other access restrictions. Before arrival, clear the agreed access route and work area of vehicles, movable items and pet waste, and keep children and pets safely away. You do not need to remain home if we have agreed on the work, access and how to contact you. If information is missing, we may contact you by email or phone before quoting or scheduling.
4. Underground facilities and hidden obstacles
Tell us about irrigation, invisible pet fences, drains, landscape lighting, private electrical or gas lines, septic components and other known buried features. Public utility marking may not identify privately owned installations; additional private locating may be needed before work. Root Wreck will arrange legally required utility notification and comply with applicable excavation safety requirements. Please do not remove utility marks. We will pause if facilities, property boundaries or safe clearance are uncertain. Buried metal, concrete, rock or other unexpected obstacles may require a revised plan and written approval before additional work or charges. These responsibilities do not excuse Root Wreck from reasonable care or liability imposed by law.
5. Scheduling, weather and property care
Your appointment is confirmed by email. Arrival times may be affected by preceding jobs, travel, weather and site conditions; we will communicate material changes. We may reschedule when access or conditions make work unsafe or likely to cause avoidable damage. Equipment can leave tire impressions or surface disturbance, especially on soft or wet ground. We will use reasonable care and discuss material access concerns before proceeding. This policy is not a waiver of claims for negligent work or of your legal rights.
6. Changes and additional work
Extra stumps, additional root grinding, cleanup changes and other added services require your written approval, including the price, before we perform them. Email approval is acceptable. If conditions differ from the estimate, we will explain the change and obtain approval or pause the affected work. We will not impose an undisclosed charge merely because the original estimate was too low.
7. Completion and concerns
We review the completed work before issuing the invoice. If you believe the agreed work is incomplete or you notice a concern, email stump@rootwreck.com or call (513) 520-7345 promptly, with photos if available. We will review the issue and arrange an appropriate response. Prompt notice helps us investigate; it does not shorten any legal deadline or waive any rights. We do not promise that stump grinding prevents every instance of regrowth or settlement.
8. Payment terms
Unless your accepted estimate states otherwise, payment is due seven calendar days after the invoice is issued. If the invoice provides a later due date, that later date applies. We invoice after completion and our review of the agreed work; acceptance of an estimate alone does not charge a card. Use the payment methods actually offered on your invoice or separately agreed in writing. Do not email card numbers or bank credentials. No deposit is required unless the estimate expressly states the amount and timing before acceptance. No automatic late fee, interest, cancellation fee or card surcharge applies under these standard policies. Any different charge must be disclosed and agreed before acceptance and be permitted by law. If you believe an invoice is incorrect, contact us promptly so we can review it; statutory dispute rights remain intact.
9. Rescheduling and cancellation
To request a change or cancel, reply to your confirmation email, email stump@rootwreck.com or call (513) 520-7345 as soon as possible. We do not automatically charge a cancellation or rescheduling fee under these standard policies. Work already authorized and properly performed may remain payable to the extent permitted by law. Mandatory cancellation rights take priority over these policies. Where Ohio home-solicitation rules apply, you may cancel until midnight of the third business day after signing; legally required notices must be supplied, and services will not begin during the applicable cancellation period. This webpage does not replace a transaction-specific cancellation notice or extend, restrict or waive rights provided by law. A request for an earlier appointment does not, by itself, waive those rights.
10. Communication and customer information
We use your submitted contact and project information to prepare estimates, arrange service, communicate about your job and provide invoices and receipts. Project photos may be used to document site conditions and completed work. We will ask for separate permission before using identifiable project photos for marketing. Do not submit sensitive financial or identity documents through the quote form. This section describes our service communications; it is not a complete website privacy or cookie policy.
11. Which terms apply
The terms supplied with your estimate at the time of acceptance, including any expressly agreed project-specific changes, apply to that job. Later website changes do not retroactively change an accepted estimate. Mandatory consumer protections always prevail. If a provision cannot legally be enforced, the remaining lawful provisions continue to apply. We do not require you to waive statutory cancellation rights, agree to mandatory arbitration or give up lawful reviews as a condition of service.
